Terms and Conditions of Service East Africa Travel Company accept bookings subject by considers the terms and conditions outlined herein.
TERMS AND CONDITIONS
The Terms, Conditions and therefore the Booking Form comprise the contract between you and Destination Africa Tours. once you sign the Booking Form you’re agreeing to the Booking Conditions. once you ask us to book your East Africa tour, once we have done that for you and confirmed the booking and you’ve got paid the initial payment, we’ll accept responsibility for providing your tour. How do I make a booking?
One person should make the booking on behalf of everyone who goes on the tour. That person must be a minimum of 18 years aged once they book the tour. He or she is going to be the primary name on the booking form. This person must have the agreement of everyone who goes on the tour to form the booking with us and can be liable for ensuring all payments due for your holiday are paid fully and at the proper time.
The one that goes to form the booking must fill in and sign our booking form. The names of everyone traveling on the vacation must be included on the booking form. This must then be sent to us alongside your deposit or full payment as began in clause 3.
Providing we are ready to do so, we’ll then confirm your chosen holiday.
How will my holiday be confirmed?
Your holiday are going to be confirmed once we issue a Booking confirmation. As soon as we do so, there’ll be a binding legal agreement between us. The Booking confirmation are going to be sent to the one that makes the booking. Please check your booking confirmation and everyone other documents thoroughly as soon as you receive them, you want to advise East Africa Travel Company at once if any details appear incorrect – it’s going to not be possible to form amendments at a later date.
DISABILITY OR OTHER MEDICAL CONDITIONS
If you or any member of your party suffers from a medical condition or disability, which can affect their tour arrangements, full details of the incapacity or medical condition must be advised to East Africa Travel Company.
If within the opinion of East Africa Travel Company a specific tour isn’t suitable for the disability/medical condition, then we reserve the proper to refuse a booking at our discretion. within the event of the disability/medical condition not being made known to East Africa Travel Company before/at the time of booking, then we further reserve the proper to cancel the booking at any stage and therefore the normal cancellation charges will apply.
We are happy to welcome travelers with disabilities on many of our holidays but regret that in some cases we are unable to try to to so, thanks to the travel arrangements and/or the hotels, which are featured.
The suitability of any tour will depend upon the character of a disability and in some cases whether the person with the incapacity is amid an able-bodied companion. so as to make sure the comfort, safety, and delight of your holiday we must ask all such intending travelers to supply details of your disability and any special requirements before booking in order that we will advise whether a specific holiday is suitable and, where necessary, instruct our representatives accordingly.
The tour prices quoted are valid for dates of the respective tours only. East Africa Travel Company reserves the proper to regulate the tour price at any time, for any unexpected park fee and park fee-related tax increases.
Furthermore, until full payment has been received, the client will in the least times be responsible for any increases with regards to hotel rates, airport taxes, and fuel surcharges or possible rate of exchange increases. Tour prices are supported the entire package and no breakdown of costs are going to be provided. Prices quoted don’t include any items unless specifically laid out in booking documentation to the client.

Our prices are per person supported the shared occupancy of double or twin-bedded rooms. (Alternative
accommodation supplements are given with the individual holiday details). While a supplement is generally charged for single rooms in Tanzania hotels these are often inferior to double or twin-bedded rooms.
Three-bedded rooms are usually twin rooms with an additional bed. Check-out time is usually between 10 am and midday on the day of departure. Please note that hotel ratings utilized in our brochures and website ask local classifications. Grading systems vary from country to country and can’t be compared. As far as possible we’ll use the hotels stated in our brochures and website.
Occasionally it’s going to be necessary to use an alternate hotel of equal standard and you’ll be advised at the earliest opportunity. The term `hotel’ includes motels, inns, lodges and other equivalent establishments consistent with local classification.
On most holidays one room costs more. On selected tours we are ready to offer shared accommodation during a twin room with another single person – you then have the pleasure of companionship and pay no supplement. This is, of course, subject to someone of an equivalent sex being willing to share. If you’re willing to share please indicate this on your booking form.
An initial payment (deposit) of 20% is required at the time of booking. East Africa Travel Company are going to be under no duty to supply any services to the Client until the Client’s initial payment has been received.
The balance of the entire tour price is payable not but 8 weeks before the departure date. East Africa Travel Company shall be entitled to cancel the booking within the event that the balance of the tour price has not been received fully by us 8 weeks before departure during which event a cancellation charge of 20% of the entire tour price will become due.
East Africa Travel Company reserves the proper to cancel any booking with none further notice, which is overdue in terms of any outstanding payment and every one monies received so far of such a cancellation are going to be put towards the cancellation charge payable by the client.
Travel documents won’t be released until receipt of full payment.
Accepted methods of payment include bank transfers, cash or credit cards (Visa, MasterCard, Diners Card, and American Express).
CANCELLATION BY THE CLIENT
In the event passengers canceling their reservations, East Africa Travel Company shall have the proper either to say the entire amount of any deposit paid by such passenger or to say any damages suffered by the corporate. the utmost cancellation fees, which can be imposed, are as follows:
Free to postpone a safari for 12 months up until each day before departure (the value of the prevailing booking are going to be reserved for the new booking).
Prior to gate of the tour price: – Up to 42 days 20%
42 to twenty-eight days 30%
28 to 7 days 50%
Less than 7 days 100%
Should a passenger cancel his/her reservations thanks to medical or work-related reasons, with reasonable notice to East Africa Travel Company, East Africa Travel Company will grant an extended 10-month period to reschedule the trip from the date of cancellation.
The client will in the least times be responsible for any increases with regards to park fees, hotel rates, airfares or rate of exchange increases/cancellation fees.
The client will need to complete and sign a replacement booking form, accepting the new conditions. The grant will only be applicable, provided the client informed East Africa Travel Company in writing with reasonable time notice.
Please note clients canceling for a Marangu route will lose the deposit paid to the park for his or her climbing permit
Cancellation By the corporate
In circumstances beyond the Company’s control like war, terrorism, hostilities, riots or political unrest (or the threat of any of these), industrial disputes, natural disasters, adverse weather or the withdrawal of (or significant interference with) travel or accommodation facilities, it’s going to be necessary for the corporate to cancel the Client’s booking.
In such circumstances, the corporate will notify the Client of the cancellation as soon as practicable. Following such cancellation, the corporate may refund to the Client all or a part of the monies paid.
In other circumstances, like insufficient demand for the vacation, it’s going to necessary for the corporate to cancel the
Client’s booking. In such circumstances, the corporate will notify the Client of the cancellation as soon as practicable. the corporate will then offer the Client an identical holiday if one is out there, but if that’s not acceptable to the Client, the corporate will refund all monies paid by the Client.
East Africa Travel Company or its agents shall not be responsible for any injury, damage or loss including consequential loss to a person or their possessions howsoever caused, including personal injury, disease or death caused by or contributed to by the negligence of East Africa Travel Company, its employees or agents. DAT shall further not be held liable for any sort of claim, including damages to persons or property, loss of enjoyment, delays and illness as a results of, but not limited to:
Acts, errors or omissions, injury, loss, accidents, delays or irregularities that would be caused by the breakdown or defect of a land vehicle or airline carrier or the other company transporting passengers;
Negligence, fault or omission on the a part of a tour service supplier or its personnel, including all persons over which East Africa Travel Company has no direct or immediate authority;
Theft, strike, illness, quarantine, mechanical failure, surprise attack, war, government or police constraint, weather , or the other cause beyond our control, including any modification to the itinerary resulting from these events; – Bankruptcy or suspension of activities of a carrier
While every precaution is taken on the tour, East Africa Travel Company or its agents don’t hold itself liable for death or any injury or loss, which could occur to such persons sustained from any cause whatsoever. The client hereby indemnifies and holds East Africa Travel Company and its agents harmless against any and every one claims in respect of private injury or damages either direct or consequential arising from any cause whatsoever as a results of the participation by the client and persons under his authority on the tour.
East Africa Travel Company shall not be responsible for any claims or if any additional expenses incurred through delays, accidents, or disruption of planned itineraries beyond the control of East Africa Travel Company (e.g. flight delays, wars, strikes, weather, the act of God, etc), and such expenses (e.g. hotels, meals, telephone calls, flight tickets, etc.) are to be borne by the client.
It is strongly advised that you simply take adequate insurance cover on an equivalent day you create a booking, within the event of cancellation thanks to illness, accident or injury. East Africa Travel Company won’t be responsible or liable if any passenger fails to require insurance cover.
CANCELLATION OF A CLIMB
Should the Kilimanjaro park cancel or modify any route for any reason whatsoever East Africa Travel Company cannot and can not be held responsible for any losses incurred as a results of this cancellation? Only refunds levied by the respective suppliers are going to be passed onto the client.
Whilst all efforts are made to supply accurate information on its website and brochures we accept no liability for any losses resulting from misinformation. the knowledge within the brochures, circular, leaflets, videos and other advertisements issued by East Africa Travel Company or its agents is given in straightness and unless specifically stated shall not form a part of any contract between the client and East Africa Travel Company. No agent, servant, representative or client of East Africa Travel Company has any right to change or vary or waive any of those conditions.
TOUR LEADERS RESPONSIBILITY
The tour leader who completes the booking form for and on behalf of a gaggle are going to be liable for passing on, all information, vouchers, schedule changes or the other information forwarded by East Africa Travel Company to him/her, to the group. East Africa Travel Company doesn’t take any responsibility for failure to try to to so. If the group leader doesn’t accept this responsibility, every member is required to finish and sign the booking form with his/her relevant contact details.
PASSPORTS, VISAS & VACCINATIONS
The responsibility for the supply of current and valid passports, visas, vaccinations and inoculations and therefore the like, where required, is that of the client alone and East Africa Travel Company shall not be responsible or responsible for any consequence of any nature arising from the client failing to make sure that he/she has complied with all such requirements.
On the bulk of treks, all of your trek baggage are going to be carried by porters or pack animals. you would like only carry alittle daypack for your essentials. you’re restricted to twenty kg of luggage on flights and to around 15 kg on the trek. Items not required during the trek are often left during a locked bag at the hotel. Please use only duffel bags for the porters to hold (NO SUITCASES PLEASE).
Documents (vouchers, itineraries, etc) are only prepared after receipt of full and payoff. Documents are going to be sent about fortnight before the departure of your tour by email. If hard copies are required by the client, delivery charges are going to be for the client’s account and must be settled before departure.
BREAK-AWAYS, CLAIMS and REFUNDS
Refunds won’t be made for any missed tour services, unused sightseeing trips or meals. Whilst it’s possible to interrupt faraway from the planned holiday itineraries, it’s understood that such break-aways are going to be for the passenger’s account and there’ll be no refunds under any circumstances for unused services.
For verifiable claims to be considered, they need to be received in writing within 14 days of the termination of the tour and be amid supporting documentation and/or a press release from the bottom Operator verifying the claim. Any adjustment considered are going to be supported the particular cost of the services involved and not on a per-day basis. Only refunds levied by the respective suppliers are going to be passed onto the client. East Africa Travel Company won’t accept any liability for any claims that aren’t received within 14 days of the termination of your tour.
Clients accept that any personal possessions like valuables, cameras or any money that’s carried on any of our ground operators’ vehicles or the other sort of transport, or that are left in accommodation provided by our company or its suppliers during a visit are carried at the clients’ own risk. ClimbingKilimanjaro.com & Destination Africa Tours don’t accept responsibility for the client’s personal possessions or valuables that are lost, damaged or stolen during the course of a tour.
In the unlikely event of there being an unscheduled extension to the vacation caused by flight delays, inclemency, strikes or the other cause which is beyond the control of East Africa Travel Company, it’s understood that expenses concerning those unscheduled extensions are going to be for the passenger’s account.
Every effort is formed to avoid delays and changes to the itinerary, but thanks to the character of our trips, there’ll be occasions once they do happen. Where a delay does occur, we shall do everything possible to attenuate its effects, but we can’t be liable for the results of delays.
All courier services are going to be for the account of the client. The accounts department will issue an invoice after the documents are couriered, which must be settled before your departure date.
